Step 3 — Complete First-Time School Setup

After first login, do these steps in order. Do not add students before completing Steps 1–4.

1
Configure School Settings

Go to Settings → School Settings. Set your school name, address, logo, currency (₹), timezone (Asia/Kolkata), language, and weekends. This information prints on all fee receipts, ID cards, and reports.

2
Create an Academic Session

Go to Academic → Sessions. Click Add Session, enter the session name (e.g. 2025-2026), and save. Then click Select to make it the active session. All enrollments, fees, attendance, and exams are linked to the active session.

3
Add Classes and Sections

Go to Academic → Class & Section. Add all your classes (e.g. Nursery, KG, Class 1 to Class 12). Then add sections for each class (e.g. A, B, C). You must have at least one class + section before you can add students.

4
Add Subjects

Go to Academic → Subjects. Add each subject (e.g. English, Hindi, Mathematics, Science, Social Studies) with its Subject Code and Subject Type (Theory / Practical). Assign subjects to classes afterward.

5
Set Up Fee Structure

Go to Student Accounting → Fee Master. Create fee types (Tuition Fee, Development Fee, Transport Fee, etc.) and assign amounts class-wise. Then go to Fee Allocation to allocate fees to students.

6
Add Employees

Go to Employee → Add Employee. Add teachers and non-teaching staff. Assign each employee a Role (Teacher, Admin, Accountant, etc.) and Designation. Teachers must be added before you can assign class teachers or build the timetable.

7
Add Students

Go to Admission → Add Student. Fill the admission form to add students one by one. To bulk-upload, go to Student Details → Import, download the Excel template, fill it, and upload.

Mandatory order: Session → Classes → Sections → Subjects must exist before adding students. Students cannot be saved without a valid class, section, and active session.

Frequently Asked Questions

What is the difference between Session and Academic Year?

They are the same thing in ProSchool360. A "Session" represents one academic year (e.g. April 2025 – March 2026). You must create and activate a session before adding students or collecting fees. All data — attendance, marks, fee records — is stored under the active session.

Can I import existing student data from Excel?

Yes. Go to Student Details → Import. Download the sample Excel template, fill in your student data following the column format, and upload the file. The system will validate and create all student records.

How do I give a teacher access only to their own class?

Go to Settings → Roles. Edit the Teacher role and enable the Teacher Restricted option. Then go to Academic → Assign Class Teacher to link each teacher to their class. They will only see data for their assigned classes.

Can multiple people login at the same time?

Yes. ProSchool360 is a multi-user cloud system. The principal, accountant, teachers, and parents can all be logged in simultaneously without any conflict.

Is there a mobile app for ProSchool360?

Yes. There is a Parent App and a Teacher App available on Android. The admin panel is fully mobile-responsive and works on any smartphone browser — no app install needed for admins.
