Dashboard Overview

The dashboard is the first screen you see after login. It gives you a real-time summary of your school's fee collection, attendance, student count, and important alerts — all in one place.

Stats Cards — Quick Numbers at a Glance

At the top of your dashboard, you will find a row of coloured stat cards. Each card shows one important number about your school right now.

Card What It Shows
Total FeeTotal fee amount assigned to all students for the current academic year
Fee CollectedTotal amount already paid by students/parents this academic year
Fee RemainingOutstanding fees yet to be collected (Total Fee minus Collected)
Total StudentsCount of active (enrolled) students in the current academic year
Total ParentsCount of parent/guardian accounts linked to students
Total TeachersCount of active teaching staff accounts
Today's AttendancePercentage of students marked Present today across all classes
Stats cards update in real-time as you collect fees or mark attendance. You do not need to refresh the page manually.

Quick Action Buttons

Below the stats, there are Quick Action shortcuts so you can get common tasks done without navigating through menus.

  • Add Student — Opens the Add Student form directly
  • Collect Fees — Go to the fee collection screen (search student by name/ID)
  • Mark Attendance — Opens today's attendance entry for a selected class
  • Marks Entry — Jump to exam marks entry for a class
  • Send WhatsApp — Open a quick WhatsApp broadcast to parents
  • Add Staff — Open the add employee form
Bookmark the dashboard URL in your browser. Staff who handle only one task (e.g., fee collection) can be given a direct link to that screen instead.

Charts and Graphs

The dashboard includes two main charts to help you track school finances and student attendance over time.

Income vs Expense Chart

A monthly bar/line chart showing fee income collected vs expenses recorded each month. Use this to quickly spot months with low fee collection or high expenses. You can toggle between monthly and yearly views.

Attendance Overview Chart

A donut or bar chart showing today's attendance breakdown: Present, Absent, Late, and Half-Day counts across the whole school or per class. Click on a class name to filter.

Fee Collection Progress

A horizontal progress bar showing what percentage of the total expected fee has been collected so far this year. Green = good, Amber = needs attention, Red = critically low.

Dashboard Alerts and Notices

ProSchool360 shows contextual alert banners on the dashboard when important actions are needed. These disappear once the issue is resolved.

Birthdays and School Calendar

Today's Birthdays

A card on the dashboard lists all students and staff with birthdays today. You can click Send Wishes to send a WhatsApp birthday message to the student's parent directly from this card.

School Calendar / Upcoming Events

The calendar widget shows: upcoming exams, school holidays, events added by the admin, and fee due dates. You can add events by clicking a date on the calendar. Events are visible to teachers and parents in their apps.

Frequently Asked Questions

Why are the fee stats on the dashboard showing zero?

This happens when no fee has been allocated to students yet. Go to Student Accounting → Fee Allocation, select a class, and assign a fee group to students. Once allocated, the dashboard stats will update.

Why does the attendance percentage show as 0% today?

Attendance has not been submitted yet for today. Go to Attendance → Student Attendance, select a class, mark all students, and click Submit. The dashboard will then show the correct percentage.

Can I customise which widgets appear on the dashboard?

Currently the dashboard layout is fixed, but you can configure which modules are enabled for your school under Settings → Modules. Disabled modules do not appear in the sidebar.

The dashboard is slow — how do I speed it up?

The dashboard loads live data from the database. If your school has many students and records, it may take 2–3 seconds. Use Chrome on a desktop for best performance. If it is consistently slow, contact support.

Can teachers see the same dashboard as admin?

Teachers see a simplified version of the dashboard showing only their assigned class data — their class attendance, their class fee summary, and quick links for their tasks. Admins see all classes.
