Attendance

Mark daily student attendance, period/subject-wise attendance, employee attendance, and use advanced options like Face Recognition and QR Code. Path: Sidebar → Attendance.

Student Attendance Entry Attendance → Student Entry

Mark daily attendance for all students in a class. Each student gets one of four statuses per day.

Step 1 — Select Filter (required before attendance loads)
FieldStatusWhat to select
ClassRequiredSelect the class you want to mark attendance for. Changing class reloads the Section dropdown.
SectionRequiredSelect the section within the class.
DateRequiredSelect the date for attendance. Defaults to today. You can mark past dates to fill missed records.

Click the Filter button. If attendance was already submitted today, an alert appears: "Today's attendance has already been submitted, would you like to edit it?" — click Edit to modify.

Step 2 — Mark Attendance

A table appears with all students of that class/section. Columns: #, Name, Roll, Father Name, Status, Remarks.

StatusCodeWhen to use
PresentPStudent is physically present in school.
AbsentAStudent did not come to school without any leave. Parents get WhatsApp/SMS notification if configured.
LateLStudent came to school but arrived after the scheduled start time.
Half DayHDStudent attended only half the day (either morning or afternoon session).
Use the "Select for Everyone" dropdown at the top-right to mark all students as Present in one click, then manually change the few who are absent. Much faster than clicking each student individually.

The Remarks column is a free-text field — optionally enter a note for individual students (e.g. "Medical Leave", "Family Function").

Step 3 — Submit

After marking all students, click Submit at the bottom. Attendance is saved. If WhatsApp/SMS notifications are configured, absent parents receive an alert automatically.

Period / Subject-Wise Attendance Attendance → Period Wise

Mark attendance separately for each period/subject throughout the day. Useful for colleges and schools with period-wise tracking. Each subject teacher marks their own period's attendance.

1
Select Class, Section, Subject, Date, Period

All 5 filters are required. After selecting, click Filter to load the student list.

2
Mark Present/Absent for Each Student

Same P/A/L/HD radio buttons as daily attendance. Add remarks per student if needed.

3
Submit

Saved per subject per period. Reports show subject-wise attendance percentage.

Employee Attendance Entry Attendance → Employee Entry

Mark attendance for teaching and non-teaching staff. The form works identically to student attendance — select the date, see all employees listed, mark P/A/L/HD, add remarks, and submit.

Employee attendance is used in the Payroll module to calculate salary deductions for absent days (if salary deduction per absent day is configured in the salary template).

Exam Attendance Attendance → Exam Attendance

Record student attendance specifically during exam days. Select the exam, class, section, and date. Mark which students appeared in the exam. This is separate from regular daily attendance and is linked to the exam results.

Face Attendance Attendance → Face Attendance

Automatically mark attendance using facial recognition through a camera. Students walk past the camera and their attendance is marked without any manual action.

Sub-menuPurpose
Face ScannerOpens the live camera view. Students stand in front of the camera — their face is matched with registered photos and attendance is marked automatically.
Auto ScannerContinuous automated scanning mode. Set up a kiosk at the school gate — attendance marks itself as students enter.
Face attendance requires students to have their profile photo uploaded in the Add Student form. Without a photo, face recognition will not work for that student.

Student-Wise Report Attendance → Student-Wise Report

View attendance summary for individual students. Filter by class, section, student name, and date range. The report shows: total school days, days present, days absent, days late, half days, and attendance percentage.

Attendance Settings Attendance → Attendance Settings

Configure how attendance works in your school.

Frequently Asked Questions

Can I edit attendance that was already submitted?

Yes. Go to Attendance → Student Entry, select the same class, section, and date. The system shows an alert "Attendance already submitted — would you like to edit?" Click Edit, make changes, and Submit again.

Can I mark attendance for a past date?

Yes. Select any past date using the date picker. ProSchool360 allows backdated attendance entry. If you want to restrict this, use the Attendance Settings to set allowed date range.

How do parents know their child is absent?

If WhatsApp or SMS absent notification is turned ON in Attendance Settings, parents automatically receive a message when their child is marked Absent. No manual action needed.

What is the difference between Late (L) and Half Day (HD)?

Late (L) means the student arrived after school start time but attended the full day. Half Day (HD) means the student attended only half the school day — either left early or arrived very late and missed the morning session.

How do I get a class-wise attendance report for a month?

Go to Reports → Attendance → Student Daily Reports. Select the class, section, and month. Download as PDF or Excel.

Can teachers mark attendance from their phone?

Yes. Teachers log in from their mobile browser, go to Attendance → Student Entry, select their class and today's date, and mark attendance. The mobile interface is fully responsive.
